Exercise Music Review

To get your invoice right, it’s important to complete your Music Review.

The OneMusic licence is charged annually and in advance. When you start your licence, we ask you to estimate how many classes you will host in the coming 12 months. Prior to your anniversary each year, we send a Music Review, where you confirm the actual number of classes. Here you also update us with how many members you have as at your anniversary date, and if applicable if you offer Virtual / On-Demand services.

Please keep an accurate record of your number of classes throughout the year.

Completing an annual Music Review is a requirement under the terms and conditions of the OneMusic licence, and it is your way to ensure your music use is covered.

What happens after my Music Review is complete?

After you submit your Music Review, we will review your submission and update your account. An invoice is then raised for your next licence year. If your actual music use differs from the estimate you provided, an adjustment will be made to the back year.

If you ended up having more Group Exercise Classes than you estimated at the beginning of the licence period, you will be charged for the additional days for the back year, as well as fees the forward year.

If you ended up having less Group Exercise Classes than you estimated at the beginning of the licence period, a credit is applied to your account, which goes towards your fees for the forward year.

The membership numbers you submit is used to calculate your Background Music fee and Virtual / On-Demand fee (if applicable) for the forward year.

How and when do I complete a Music Review?

Prior to your anniversary each year, we will email your Music Review – a simple online form that includes a few questions about your music use.

Please keep an accurate record of your number of classes throughout the year.

What information do I need to provide for a Music Review?

We’re going to ask:

  1. Your total number of members as at your anniversary date
  2. Your actual number of group fitness classes for the past 12 months
  3. Your estimated number of group fitness classes for the next 12 months
  4. Do you have Virtual / On-Demand services?

When estimating your number of classes, it is important to consider both your winter and summer timetables. It is not based on numbers attending or on the length of the class.

Why do you need to know the exact number of classes from the last 12 months?

Group Fitness Classes are based on a per class fee. It’s important to submit your Music Review annually to keep your account up to date and ensure the licences fees you pay are accurate and reflect the music you use.

What is the definition of a member?

If more than 50% of users of an Exercise Facility are non-members, a user will be deemed to be a member if they use the Exercise Facility more than one day per week.

What is the definition of a Group Fitness Class?

A Group Fitness Class is defined as a structured form of scheduled group exercise conducted in a class environment with two or more participants. All Group Fitness Classes need to be included on your Music Review, regardless of whether the music used is background, foreground/featured or curated specifically for the class.

What is the definition of Virtual / On-Demand Services?

An on-demand structured form of group exercise delivered by audio visual means, where an instructor or staff member is not present to guide or supervise participants. This means virtual classes held within a gym and does not mean livestreaming classes on the internet. Where the class does have an instructor or staff member present this is defined as a Group Fitness Class.

An independent trainer or REPs registered trainer conducts classes at my exercise facility, who needs to hold the group fitness class licence?

The person or business that authorises the public performance of music is responsible for holding the OneMusic licence. While you may have independent trainers come and conduct classes, it is the exercise facility that is obliged to hold the OneMusic licence for the public performance of the music performed.

REPs Registered Professionals receive a OneMusic licence when working independently of an exercise facility and operating 4 or fewer personal training sessions per week (using music). I've sold my business, how do I cancel my account?

OneMusic licences are non-transferrable so you’ll need to let us know in writing. If you have sold your business, or if you have ceased trading complete a OneMusic Licence Cancellation Request form. We can then issue your last Music Review to finalise your account.
